Tutorial on How to Import Patients from Web: **It is recommended you do not import the patient form until the patient comes in for their exam. Crystal creates a medical record for the day it was imported, so if their exam is on a different day then you will have a record with an incorrect date. It also eliminates the need to delete a patient record if the patient did not come in for their exam after you have imported their forms.** (You can access the link to your online forms by going to Admin, then Website in Crystal.) If you go to the patient search page (by double clicking on the patients tab) you will see a blue button titled "import patient from web." When you click on this, it will list all patients who have submitted their forms online, that you haven't imported yet. Just double click the name and it will give you a screen to preview all of the data they're submitting. *If something is not in those pages, they did not enter it on the online forms.* Then, you can choose to create a new patient from the data, or add it to an existing patients file using the buttons at the bottom of the pop up. Generating Passwords: *The easiest way to give patients their passcode is when they call to schedule their exam. Creating a passcode takes seconds!* For existing patients who are already in the system and who needs to update their patient/medical history information, you can set a passcode that they can enter on the first page of the online forms. When you enter the passcode and click Submit, all of their information will be prepopulated into the text boxes, so all they need to do is modify the information that has changed and resubmit. Open up the patient you'd like to set a passcode for in the patients tab. go to their Files tab, and down in the lower left hand corner, there is a button titled "online registration form." Here you will assign a pass code so they can update their demographics, insurances, and/or medical records. One thing to note here is the expiration. It's set to 3 hours for security reasons and I would not recommend going over 1 month, again, for security reasons. Make sure to click 'Update Website' when you have finished setting the passcode.
